Printers & Scan-to-Email

Users are asked for admin rights to install a printer driver

Normal users can no longer add printers from the print server and get prompted for administrator credentials to install the driver.

What you’re seeing

  • A standard user trying to add a printer from the print server is prompted for an administrator name and password.
  • Windows asks 'Do you trust this printer?' and then requires admin approval to install the driver.
  • Existing printers stop working after the print server's driver is updated, and reconnecting asks for admin credentials.
  • Printers deployed by Group Policy silently fail to appear for standard users.

Common causes

Every environment is different, but these are the causes our engineers find most often:

  • Microsoft changed the default Point and Print behavior so installing or updating printer drivers requires administrator rights, in response to print system vulnerabilities.
  • The driver on the print server isn't a packaged driver, so Windows treats it as higher risk during installation.
  • A driver update on the print server forces every client to download the new version, which triggers the admin prompt.
  • Point and Print restrictions policy isn't configured to list the business's approved print servers.
  • Users previously had local administrator rights that were removed during a security tightening.

Why it matters

Every new hire, laptop swap or printer change becomes a help desk call when staff can't add printers themselves. Giving users admin credentials to get around it creates a far larger security risk than the one Microsoft's change addressed. Delays in getting printers working slow down onboarding and day-to-day tasks, especially in offices that print shipping documents, forms or invoices.

Frequently asked questions

Can we just give everyone admin rights?

We advise against it. Admin rights for all staff make malware and ransomware far more damaging, and there are safer ways to let users get the printers they need.

Why did this start without any change on our side?

Windows security updates changed the default rules for installing printer drivers, so printers that installed silently before now require approval.
