What you’re seeing
- Everyone in the office receives scanned documents except one person.
- The copier says the job was sent successfully, but the scan never arrives in that user's inbox.
- Exchange message tracking shows a FAIL event with a DNS-related reason for that recipient.
- The user receives normal email without any problem.
Common causes
Every environment is different, but these are the causes our engineers find most often:
- The address stored in the copier's address book has a typo, extra space or old domain name for that user.
- The user's mailbox or contact forwards to an external address whose domain can't be resolved by Exchange.
- The address points to a domain the company no longer owns or uses, so mail routing looks up records that don't exist.
- Exchange tries to route that recipient externally because the address isn't matched to an internal mailbox.
- Exchange's DNS settings for external lookups can't resolve the target domain the user's mail is routed to.
Why it matters
When one person consistently misses scans, documents can go missing without anyone realizing, which is a problem for signed paperwork, payment records or confidential files. If the scans are being routed toward an address outside the company, sensitive documents may be leaving your control. The time lost re-scanning and hunting for missing documents adds up, especially for staff who handle most of the paperwork.
How AskTechGurus fixes it
Skip the trial and error. A certified engineer works on your actual system, finds the root cause, and fixes it properly.
Tell us what’s happening
Submit a ticket in about two minutes. Paste the error, describe what changed, and pick your tier. No charge to submit.
A certified engineer diagnoses it
A vetted, US-based systems engineer claims your ticket, usually within minutes during business hours, and investigates over a secure remote session you can watch and end at any time.
Fixed and verified with you
The engineer resolves the root cause and confirms with you that it’s working. You don’t just get a workaround, and you get a plain-English summary of what was wrong.
Pay only when it’s resolved
Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.
Frequently asked questions
Could the missing scans have gone to someone else?
It's possible if the address is wrong or forwarding is set up incorrectly. Checking where those messages were routed is part of the investigation.
Why would only one user be affected?
The copier and Exchange are working for everyone else, so the issue is almost always tied to that one person's address or mailbox settings.
