What you’re seeing
- The Teams Meeting button is missing when the assistant creates an event on the manager's calendar in Outlook.
- Meetings booked for the manager go out without a Teams join link, or with a link owned by the assistant.
- An error says the assistant doesn't have permission to schedule on the manager's behalf.
- The assistant can't open or change meeting options for meetings they set up for the manager.
Common causes
Every environment is different, but these are the causes our engineers find most often:
- The assistant has calendar sharing rights but not true delegate access, which is required to create Teams meetings as the manager.
- The assistant's permission on the manager's calendar is below editor level.
- The manager's Teams meeting policy doesn't allow private meeting scheduling, which also blocks anyone scheduling for them.
- The Teams Meeting add-in in the assistant's Outlook is disabled, outdated or failed to load.
- One of the mailboxes is still hosted on an on-premises Exchange server, which limits how delegated Teams scheduling works.
- The assistant uses a different Outlook version than expected, and the new Outlook handles shared calendars differently from the classic client.
Why it matters
Executive assistants keep leaders' days running. When they can't book Teams meetings properly, the manager ends up scheduling their own calls, or meetings are created under the assistant's name, which confuses attendees and puts lobby and recording controls in the wrong hands. Client calls start late while people hunt for the right link. For firms that rely on assistants to coordinate with outside clients, the friction reflects directly on the business.

Frequently asked questions
Does the manager need to be online for the assistant to schedule meetings?
No. Once delegate access is set up correctly, the assistant can schedule on the manager's behalf at any time without the manager signed in.
Will the assistant be able to see the manager's private appointments?
Only if the manager allows it. Delegate settings control whether private items are visible, and we confirm those choices with you before changing any access.
Will meetings already on the calendar be affected?
Existing meetings normally stay as they are. Any meetings created with the wrong organizer can be identified so you can decide whether to reissue them.
