What you’re seeing
- The admin center still says the mailbox is being set up, hours or days after the license was assigned.
- Outlook can't find the new user's mailbox, and Outlook on the web reports that no mailbox exists for the account.
- Coworkers' emails to the new hire's address bounce back.
- The user is missing from the global address list and from the Exchange admin center's mailbox list.
Common causes
Every environment is different, but these are the causes our engineers find most often:
- The account syncs from on-premises Active Directory and carries leftover Exchange attributes, so Microsoft 365 assumes the mailbox lives on a local server.
- In a hybrid setup, the user was created on-premises without being enabled as a remote mailbox, leaving Exchange Online unsure where the mailbox belongs.
- The Exchange Online service plan inside the license was switched off when the license was assigned.
- Background provisioning stalled on a validation error, often an email or proxy address already used by another object.
- The license came from a group assignment that failed, so the user never actually received the Exchange entitlement.
- The address matches a recently deleted mailbox still in its recovery window, which causes a conflict.
Why it matters
A new hire without a mailbox can't receive welcome emails, meeting invites, training links or customer correspondence, and often can't use Teams calendars either. Their first days are wasted, managers forward mail by hand, and messages sent to their address bounce, which looks careless to clients. In hybrid environments the root cause usually affects every new account created the same way, so the next hire is likely to hit the same wall until it's corrected.
How AskTechGurus fixes it
Skip the trial and error. A certified engineer works on your actual system, finds the root cause, and fixes it properly.
Tell us what’s happening
Submit a ticket in about two minutes. Paste the error, describe what changed, and pick your tier. No charge to submit.
A certified engineer diagnoses it
A vetted, US-based systems engineer claims your ticket, usually within minutes during business hours, and investigates over a secure remote session you can watch and end at any time.
Fixed and verified with you
The engineer resolves the root cause and confirms with you that it’s working. You don’t just get a workaround, and you get a plain-English summary of what was wrong.
Pay only when it’s resolved
Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.
Frequently asked questions
Can the new employee work without a mailbox in the meantime?
They can use some Microsoft 365 apps, but email, calendar and many Teams scheduling features depend on the mailbox. Most cases are resolved in a single session, so the gap is usually short.
Is this related to how our accounts sync from the office server?
Often it is. Synced accounts carry attributes from your local Active Directory, and one wrong or leftover value can stop Microsoft 365 from creating the mailbox.
Will we have to delete and recreate the user?
Rarely. Recreating can introduce new conflicts, so an engineer identifies the stuck attribute or setting first and corrects it on the existing account where possible.
