Microsoft 365 & OneDrive

Outlook keeps asking for the Microsoft 365 password

Outlook repeatedly pops up a sign-in or password prompt for a Microsoft 365 mailbox, even after entering the correct password.

What you’re seeing

  • A Windows Security or Microsoft sign-in window pops up again and again, even after the correct password is entered.
  • Outlook's status bar shows "Need Password" or "Disconnected".
  • Mail stops syncing until the prompt is answered, then the prompt returns a few minutes later.
  • Outlook on the web and the phone app work fine with the same account.

Common causes

Every environment is different, but these are the causes our engineers find most often:

  • Credentials saved by Windows for the mailbox are stale, often after a password change.
  • Outlook is attempting basic or legacy authentication, which Microsoft 365 no longer accepts.
  • The Windows component that brokers Microsoft 365 sign-ins for Office apps is damaged or has been disabled.
  • A Conditional Access or MFA requirement can't be satisfied by the Outlook build in use, so each attempt is rejected.
  • Autodiscover still points to an old Exchange server or previous email host, so Outlook keeps signing in to the wrong place.
  • Office is signed in with a different account than the mailbox owner, and the two identities conflict.

Why it matters

Repeated password prompts interrupt work all day and stop mail from syncing, so people miss messages and meeting changes without realizing it. Worse, users learn to type their password into any box that appears, which makes them easy targets for phishing pages that mimic the Microsoft sign-in. If the cause is an outdated authentication method or misdirected Autodiscover, it tends to spread to other users as their cached credentials expire.

Frequently asked questions

Does constant prompting mean my account has been hacked?

Usually not; it's typically a configuration or authentication problem on the computer. It's still worth reviewing recent sign-in activity, which the engineer can do while investigating.

Will I lose email if my Outlook profile has to be rebuilt?

Not for Microsoft 365 mailboxes, which keep everything on Microsoft's servers. Local data such as PST archives is identified and preserved before anything is changed.
