Microsoft 365 & OneDrive

OneDrive Known Folder Move (Desktop/Documents backup) fails

Backing up Desktop, Documents and Pictures to OneDrive fails or keeps turning itself off, so those folders aren't protected.

What you’re seeing

  • OneDrive reports that Desktop, Documents or Pictures can't be backed up.
  • Folder backup appears to start, then turns itself off.
  • An error lists files that couldn't be moved, or says a folder is already redirected somewhere else.
  • The backup option is grayed out or says it's managed by your organization.

Common causes

Every environment is different, but these are the causes our engineers find most often:

  • The folders are already redirected to a network share by Group Policy, which conflicts with OneDrive's folder backup.
  • Files OneDrive can't sync, such as open Outlook data files or items with invalid names, stop the move from completing.
  • OneDrive is signed in to a different tenant than the one the backup policy is meant for.
  • The folders contain more data than fits in the user's remaining OneDrive storage.
  • Third-party backup, sync or security software holds locks on files inside those folders.
  • Conflicting policies both push folder backup on and restrict users from changing it, leaving the feature stuck.

Why it matters

Desktop and Documents are where most staff actually save their work. If folder backup isn't running, a stolen laptop, failed drive or ransomware infection can wipe out months of files with no copy in the cloud. Many businesses assume backup is in place because it was rolled out, never noticing it silently turned off. Insurers and auditors increasingly expect proof that endpoint data is protected, so a broken backup can also become a compliance issue.

Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.

Frequently asked questions

Are files on the Desktop backed up right now?

Not while the backup has failed or turned off. Anything saved there is only on the computer until the issue is resolved.

Will files be moved or duplicated when backup starts working?

The folders are relocated into OneDrive and appear in the same place for the user. We check for existing copies and redirects first so nothing is duplicated or lost.
