Mac won't print to the office printer

Printing from a Mac fails, prints garbled output, or the printer can't be added at all.

What you’re seeing

  • Print jobs sit in the queue with 'Printer is not connected' or a similar status.
  • Pages come out as garbled symbols, the wrong size, or blank.
  • The printer doesn't appear when adding it, or appears but can't be selected.
  • Printing works from Windows PCs but not from any of the Macs.
  • Secure release, user codes or department accounting options aren't available on the Mac.

Common causes

Every environment is different, but these are the causes our engineers find most often:

  • The Mac is using a generic AirPrint driver that doesn't support the printer's features, codes or finishing options.
  • An old or incompatible driver was carried over after a macOS upgrade.
  • The printer's IP address changed, or it isn't being advertised on the network segment the Mac is on.
  • The printer is shared from a Windows print server using a protocol or authentication the Mac doesn't handle well.
  • The print queue on the Mac is paused or holding a stuck job that blocks everything behind it.

Why it matters

Printing problems sound minor until contracts, shipping labels, prescriptions or client packets can't go out on time. Staff waste time walking to other computers or emailing files to coworkers to print for them. Missing user codes and secure-release features can also mean confidential documents sit in the output tray for anyone to pick up. Recurring issues erode confidence in Macs in a mixed office.

Frequently asked questions

Do we need a new printer?

Rarely. Most Mac printing problems come down to drivers, network discovery or queue settings, not the hardware.

Will this affect the Windows users?

No. Changes are made on the Mac side unless the printer's own settings are the cause, in which case we assess the impact first.
