What you’re seeing
- Backup job logs reporting VSS errors, shadow copy creation failures, or a snapshot that could not be created.
- A VSS writer, such as the SQL Server, Exchange or System writer, listed in a failed or timed-out state.
- Error codes in the 0x800423xx family, or messages about the shadow copy provider timing out.
- Backups that worked for months began failing after an update, a new application install or a storage change.
- VolSnap or VSS entries in the event logs clustered around the time each backup starts.
Common causes
Every environment is different, but these are the causes our engineers find most often:
- Two backup products, or a leftover agent from an old one, are both registered as shadow copy providers and conflict during the snapshot.
- A VSS writer for SQL Server, Exchange or another application is stuck because its service hung or was not shut down cleanly.
- The shadow storage area on the volume is too small or already full, so new snapshots cannot be created.
- Heavy disk activity during the backup window makes the snapshot freeze exceed its time limit.
- Hypervisor integration services or guest tools are outdated, breaking application-consistent snapshots of virtual machines.
Why it matters
When VSS fails, backups either stop altogether or fall back to copies that are not application-consistent, which may not restore cleanly for databases and mail stores. The business can believe it is protected while its most important data, such as accounting databases, line-of-business apps and email, is not being captured correctly. VSS problems also tend to spread to other features that rely on shadow copies, including Previous Versions on file shares, so recovering even a single overwritten file can become impossible.
How AskTechGurus fixes it
Skip the trial and error. A certified engineer works on your actual system, finds the root cause, and fixes it properly.
Tell us what’s happening
Submit a ticket in about two minutes. Paste the error, describe what changed, and pick your tier. No charge to submit.
A certified engineer diagnoses it
A vetted, US-based systems engineer claims your ticket, usually within minutes during business hours, and investigates over a secure remote session you can watch and end at any time.
Fixed and verified with you
The engineer resolves the root cause and confirms with you that it’s working. You don’t just get a workaround, and you get a plain-English summary of what was wrong.
Pay only when it’s resolved
Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.
Frequently asked questions
Is this a problem with our backup software or with Windows?
VSS is a Windows component shared by every backup tool, so errors often originate in Windows or in an application's writer rather than in the backup product itself. Identifying which piece is failing comes first.
Is the server at risk while backups are failing?
The server itself keeps running, but there is no fresh recovery point if something goes wrong. The longer it continues, the more data could be lost in a failure.
Will resolving it require a reboot?
Sometimes restarting a service or the server is needed to clear a stuck writer. We confirm the cause first and schedule any restart with you to avoid disrupting staff.
