What you’re seeing
- A shared mailbox such as info@ or accounts@ does not appear in the folder list even after access was granted.
- Some team members see the mailbox and others with the same permissions do not.
- The mailbox opens fine in Outlook on the web but not in desktop Outlook.
- The shared mailbox appears but its folders are empty or fail to expand.
Common causes
Every environment is different, but these are the causes our engineers find most often:
- The permission was granted without automatic mapping, so Outlook doesn't add the mailbox by itself.
- Access was given through a security group, which doesn't trigger automatic mapping in Outlook.
- Outlook hasn't refreshed its Autodiscover information since the permission was granted.
- The shared mailbox is in a different system or environment from the user during a hybrid or staged migration.
- Full Access rights were granted but folder-level permissions or cached mode settings are hiding its contents.
Why it matters
Shared mailboxes are often where customer orders, billing questions and support requests land. If the people responsible can't see them in Outlook, messages sit unanswered and response times suffer. Staff resort to logging in with shared passwords or forwarding everything to themselves, which undermines security and leaves no clear record of who handled what.
How AskTechGurus fixes it
Skip the trial and error. A certified engineer works on your actual system, finds the root cause, and fixes it properly.
Tell us what’s happening
Submit a ticket in about two minutes. Paste the error, describe what changed, and pick your tier. No charge to submit.
A certified engineer diagnoses it
A vetted, US-based systems engineer claims your ticket, usually within minutes during business hours, and investigates over a secure remote session you can watch and end at any time.
Fixed and verified with you
The engineer resolves the root cause and confirms with you that it’s working. You don’t just get a workaround, and you get a plain-English summary of what was wrong.
Pay only when it’s resolved
Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.
Frequently asked questions
Do we need to share the mailbox password with staff?
No, and it's best not to. Shared mailboxes are designed to be accessed through each person's own account and permissions, which also keeps a record of who did what.
Does this need an extra license?
Usually not. Shared mailboxes under a certain size don't require their own license in Microsoft 365, though there are exceptions we can check for you.
