What you’re seeing
- Outlook search says no matches were found for messages you can see in the folder.
- Search finds older messages but nothing from the last few days or weeks.
- A notice says search results may be incomplete because items are still being indexed.
- Search in Outlook on the web finds the message, but desktop Outlook does not.
Common causes
Every environment is different, but these are the causes our engineers find most often:
- The Windows Search index is incomplete, corrupt or stuck, so new mail is never indexed.
- Outlook data files are excluded from indexing, or the Windows Search service isn't running.
- Outlook is set to keep only part of the mailbox offline, so older mail isn't in the local index.
- A very large mailbox makes indexing so slow that it never catches up.
- A recent Windows or Office update interfered with the index or reset its settings.
Why it matters
Search is how most people find their email. When it fails, staff waste time scrolling through folders, assume messages never arrived and ask colleagues or customers to resend things. For roles that depend on quickly retrieving past agreements or invoice threads, broken search directly slows service and increases the chance of a mistake.
How AskTechGurus fixes it
Skip the trial and error. A certified engineer works on your actual system, finds the root cause, and fixes it properly.
Tell us what’s happening
Submit a ticket in about two minutes. Paste the error, describe what changed, and pick your tier. No charge to submit.
A certified engineer diagnoses it
A vetted, US-based systems engineer claims your ticket, usually within minutes during business hours, and investigates over a secure remote session you can watch and end at any time.
Fixed and verified with you
The engineer resolves the root cause and confirms with you that it’s working. You don’t just get a workaround, and you get a plain-English summary of what was wrong.
Pay only when it’s resolved
Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.
Frequently asked questions
Are the missing messages actually gone?
No. The messages are still in the mailbox; the search index simply doesn't know about them. Webmail search is a good quick way to confirm they are there.
Why is it only happening on one computer?
Outlook search relies on an index stored on each PC, so the problem is usually local to that machine rather than the mail server.
