What you’re seeing
- Outlook and webmail searches return no results or only very old ones, even for emails users can see in their folders.
- The database copy reports its content index state as Failed or Unhealthy.
- Attempts to activate that database copy on another server are blocked or warn about the index.
- Search began failing after an unexpected restart, a storage problem or an update.
Common causes
Every environment is different, but these are the causes our engineers find most often:
- The search catalog for the database became corrupted after an unexpected shutdown or disk error.
- The Exchange search services are stopped, crashing or stuck, so the index is not being updated.
- The volume holding the search catalog is full, so indexing cannot continue.
- Antivirus software is scanning or locking the catalog files.
- An update or migration left the catalog in a state that the current version of Exchange cannot use.
Why it matters
Most people rely on search rather than folders to find email. When it breaks, simple tasks like locating a contract, a customer's last message or an approval chain take much longer, and staff assume emails are missing. Compliance and legal teams may also find their searches incomplete. In a DAG, a failed index can stop a healthy copy from taking over during an outage, turning a search problem into an availability risk.
How AskTechGurus fixes it
Skip the trial and error. A certified engineer works on your actual system, finds the root cause, and fixes it properly.
Tell us what’s happening
Submit a ticket in about two minutes. Paste the error, describe what changed, and pick your tier. No charge to submit.
A certified engineer diagnoses it
A vetted, US-based systems engineer claims your ticket, usually within minutes during business hours, and investigates over a secure remote session you can watch and end at any time.
Fixed and verified with you
The engineer resolves the root cause and confirms with you that it’s working. You don’t just get a workaround, and you get a plain-English summary of what was wrong.
Pay only when it’s resolved
Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.
Frequently asked questions
Is email missing, or just not showing in search?
Usually the email is all still there. The index that search uses is damaged, but the mailbox contents are stored separately and are unaffected.
Why does a search problem block failover?
Exchange treats a failed index as a sign that a database copy is not fully healthy, so it may refuse to activate that copy to avoid users losing search after a failover.
