Email & Exchange Server

Out-of-office replies aren't being sent

Automatic replies are turned on, but senders never receive them — or only internal senders do.

What you’re seeing

  • Automatic replies are switched on, but people who email the user don't get any response.
  • Colleagues inside the company receive the out-of-office message while outside senders do not.
  • Outlook shows an error saying automatic replies can't be displayed or the server is unavailable.
  • The reply was sent once to a sender and never again, even weeks later.

Common causes

Every environment is different, but these are the causes our engineers find most often:

  • Automatic replies are set to go only to internal senders, or only to people in the user's contacts.
  • A remote domain or transport setting blocks automatic replies to external recipients.
  • The scheduled time range was entered incorrectly, so the replies are not active during the absence.
  • Exchange sends one automatic reply per sender for each absence period, which can look like it stopped working.
  • Outlook can't reach the server's Autodiscover or web services, so the setting never saves on the server.

Why it matters

Customers and partners who don't get an auto-reply assume their message was read and will be answered. Days later they discover the person was away, deadlines have passed and nobody redirected them. For sales, support and finance roles, that silence can mean lost orders, missed escalations and late payments. It also makes the business look unresponsive at precisely the time someone is unavailable.

How AskTechGurus fixes it

Skip the trial and error. A certified engineer works on your actual system, finds the root cause, and fixes it properly.

Tell us what’s happening

Submit a ticket in about two minutes. Paste the error, describe what changed, and pick your tier. No charge to submit.

A certified engineer diagnoses it

A vetted, US-based systems engineer claims your ticket, usually within minutes during business hours, and investigates over a secure remote session you can watch and end at any time.

Fixed and verified with you

The engineer resolves the root cause and confirms with you that it’s working. You don’t just get a workaround, and you get a plain-English summary of what was wrong.

Pay only when it’s resolved

Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.

Frequently asked questions

Can someone else turn on out-of-office for a person who is already away?

An administrator can manage automatic replies for another mailbox without needing the person's password. We confirm the wording and dates with you before turning it on.

Why does everyone inside the company get the reply but not customers?

Internal and external replies are separate settings, and organization-wide rules can also block replies to outside senders. Either one can produce exactly this pattern.
