One user's mailbox is corrupted — errors and missing folders

One person's Outlook throws errors, can't open certain folders, or items disappear, while everyone else is fine. The mailbox itself has corrupt items or a damaged folder structure.

What you’re seeing

  • One person gets errors such as 'cannot expand the folder' or 'the set of folders cannot be opened' while colleagues are unaffected.
  • Specific folders, calendar entries or contacts vanish or show up empty for that user only.
  • Outlook for that person crashes or hangs on the same folder or message every time.
  • Rules or views behave strangely, and the same problems appear in Outlook on the web for that mailbox.

Common causes

Every environment is different, but these are the causes our engineers find most often:

  • Individual items in the mailbox are damaged, often from a third-party add-in, a sync tool or a mobile app writing bad data.
  • The folder hierarchy has inconsistencies, such as orphaned folders or broken parent links, left over from a migration.
  • Corrupt or conflicting server-side rules or hidden view settings prevent folders from loading.
  • The mailbox crossed an item-count or folder-count limit in a single folder, which can make it behave as if it were damaged.
  • A local Outlook cache file is corrupt and is masking or adding to problems in the server mailbox.

Why it matters

When a single mailbox is damaged, the person who owns it is effectively cut off from their history: past correspondence, calendar commitments and saved contacts. If that person is an executive, salesperson or bookkeeper, the business feels it immediately in missed meetings and lost threads. Left alone, corruption can spread to more folders and make the mailbox harder to move or back up later, and items may be lost permanently if the wrong repair is attempted.

Frequently asked questions

Will we lose the missing emails?

Often they are still in the mailbox but hidden by the damage. We look at what is recoverable before making any change, so nothing is discarded without your agreement.

Why is only one person affected?

Corruption is usually specific to one mailbox's contents, triggered by something only that user has, such as an add-in, a phone app or a folder that grew very large. The server and other mailboxes are typically healthy.
