Email & Exchange Server

Mail sent from a shared mailbox lands in the user's own Sent Items

Messages sent from a shared mailbox are saved in the sender's personal Sent Items instead of the shared mailbox's, so the team can't see what was sent.

What you’re seeing

  • Replies sent from the shared mailbox appear in the sender's personal Sent Items folder.
  • The shared mailbox's own Sent Items folder is empty or only shows messages from some team members.
  • Teammates ask whether a customer has been answered because they can't see the reply.
  • Deleted items from the shared mailbox also end up in the person's own Deleted Items.

Common causes

Every environment is different, but these are the causes our engineers find most often:

  • By default, Exchange and Microsoft 365 save a copy of sent mail only in the sender's own mailbox.
  • The setting that keeps a copy of sent mail in the shared mailbox was never turned on for that mailbox.
  • The shared mailbox was added as a secondary mailbox in Outlook rather than as its own account, which affects where sent items are stored.
  • A recent migration reset the shared mailbox's sent item settings to their defaults.

Why it matters

A shared mailbox only works for a team if everyone can see the whole conversation. When sent replies are scattered across personal mailboxes, colleagues duplicate responses, contradict each other or assume nobody has replied. When someone leaves the company, their sent replies on behalf of the team can leave with their mailbox, creating gaps in the record you may later need for disputes or audits.

How AskTechGurus fixes it

Skip the trial and error. A certified engineer works on your actual system, finds the root cause, and fixes it properly.

Tell us what’s happening

Submit a ticket in about two minutes. Paste the error, describe what changed, and pick your tier. No charge to submit.

A certified engineer diagnoses it

A vetted, US-based systems engineer claims your ticket, usually within minutes during business hours, and investigates over a secure remote session you can watch and end at any time.

Fixed and verified with you

The engineer resolves the root cause and confirms with you that it’s working. You don’t just get a workaround, and you get a plain-English summary of what was wrong.

Pay only when it’s resolved

Fixed price from $99, invoiced only after you approve the fix. If it isn’t resolved, you don’t pay.

Frequently asked questions

Can we recover past replies into the shared mailbox?

Past messages stay in each sender's personal Sent Items. They can be located there, but fixing the setting only changes where future replies are saved.

Does this affect how customers see our replies?

No. The recipient sees the same message either way; this only affects where your copy is filed internally.
